Most loan applications in India are not rejected because the business is bad. They are rejected because the file does not explain the business well enough for a credit officer to say yes. That file is your project report.
This matters more now than it did two years ago. Under RBI's amended MSME lending directions dated 9 February 2026, banks are barred from taking collateral on loans up to ₹20 lakh given to micro and small enterprise units, and the change applies to loans sanctioned or renewed on or after 1 April 2026. With property out of the picture at that ticket size, the bank has one thing left to judge you on: the numbers and logic you put on paper.
This guide walks through what goes into a project report for business loan applications, the layout banks expect, the documents you need to attach, and a worked example with real figures.
What Is a Project Report for a Business Loan?
A project report for a business loan is a written case that sets out what your business does, what it will cost to set up or expand, where the money will come from, how much it will earn, and how the loan will be repaid. Banks use it to test repayment capacity before sanction.
It is a different animal from an investor pitch deck. An investor wants upside. A banker wants certainty of repayment, and will read your report backwards from the repayment schedule.

Business Project Report for Bank Loan: Key Components
The financial block carries the sanction. Everything else supports it. A business project report for bank loan purposes stands or falls on four tables and one ratio.
Cost of project. List capital spend with the source of each figure. A machinery cost should tie back to a supplier quotation attached in the annexure. Round numbers with no backing invite questions.
Means of finance. This shows your own contribution and the loan you want. Under PMEGP, for example, the promoter puts in 10% of project cost as a general category applicant and 5% if they fall in a special category such as SC, ST, OBC, minority, woman, ex-serviceman or applicant from the North East.
Projected profit and loss. Three to five years. Sales assumptions need a basis: capacity in units multiplied by a realistic utilisation percentage multiplied by price.
Projected cash flow. Profit is not cash. This table shows whether money is actually in the account on the date the EMI is due.
Debt service coverage ratio (DSCR). Cash available for repayment divided by the repayment due in that year. Anything at or below 1 means the business cannot service the loan from its own earnings. Lenders each set their own comfort level above that, so ask your bank or scheme what benchmark they apply before you finalise projections.
How to Make Project Report for Business Loan?
Here is the working sequence. Learning how to make project report for business loan files gets easier when you build the numbers first and write the words afterwards.
- Fix the loan amount and purpose. Machinery, working capital, expansion, or a mix.
- Build the cost of project table from quotations, not estimates.
- Decide your own contribution and arrive at the loan figure.
- Work out installed capacity, then apply a realistic first-year utilisation. Sixty to seventy per cent in year one is easier to defend than ninety.
- Price your output using actual market rates you can show.
- Build the profit and loss, then the cash flow, then the balance sheet, in that order.
- Calculate DSCR, break-even and current ratio.
- Write the narrative sections last, so the story matches the numbers.
If the DSCR comes out thin, do not adjust sales upward to fix it. Ask for a longer tenure or a moratorium instead. Bankers spot inflated revenue immediately.
How to Prepare Project Report for Business Loan?
Preparation is the collection work you do before opening a spreadsheet. Knowing how to prepare project report for business loan applications properly saves weeks of back and forth at the branch.
Gather these first:
- Written quotations for every machine and major asset
- Rent agreement or property papers for the premises
- Electricity load sanction, if your process needs power
- Any licences your trade needs, such as FSSAI, drug licence or pollution consent
- Names of two or three likely buyers, with letters of intent if you can get them
- Your own bank statements for the last six to twelve months
You are entitled to ask the bank for its list too. RBI requires banks to give MSME borrowers an indicative checklist of documents at the time of applying, and to display credit information including timelines and the document checklist prominently on their website. The same directions set a timeline of not more than 14 working days for credit decisions on MSE loans up to ₹25 lakh, and require banks to give written reasons if an application is rejected.
New Business Project Report for Bank Loan
A first-time unit has no balance sheet, no GST returns and no repayment history. The new business project report for bank loan applications has to replace that missing track record with other evidence.
What carries weight instead:
- Promoter experience. Years spent working in the same trade counts heavily. Say so plainly, with dates and employer names.
- Firm demand. A single signed purchase order or supply agreement does more than five pages of market description.
- Skin in the game. A higher promoter contribution than the minimum tells the bank you believe your own numbers.
- Training certificates. PMEGP makes Entrepreneurship Development Programme training compulsory before the margin money claim, at 10 working days for projects above ₹5 lakh and 5 working days for projects up to ₹5 lakh. Projects up to ₹2 lakh are exempt.
Know the ceiling of the scheme you are applying under. PMEGP allows a maximum project cost of ₹50 lakh for a manufacturing unit and ₹20 lakh for a service unit. Under the Mudra scheme, the Tarun Plus category covers loans above ₹10 lakh and up to ₹20 lakh, but only for borrowers who have already taken and fully repaid a loan under the Tarun category.
Project Report Requirements for Business Loan
The report itself is one document in a larger file. These are the standard project report requirements for business loan submissions in India.

Establishes your MSME status. Banks classify priority sector lending on the basis of the Udyam certificate |
|

|
Constitution documents |
Partnership deed, LLP agreement or certificate of incorporation |
|
Bank statements |
Usually 6 to 12 months, business and personal |

Your Udyam classification also decides which limits apply. Under the criteria notified on 21 March 2025, a micro enterprise has investment in plant and machinery up to ₹2.5 crore and turnover up to ₹10 crore, a small enterprise up to ₹25 crore and ₹100 crore, and a medium enterprise up to ₹125 crore and ₹500 crore.
How to Create Project Report for Business Loan?
Working out how to create project report for business loan submissions is mostly a question of tools and presentation, once the data is in hand.
Build the financial tables in a spreadsheet and link them, so a change in the sales assumption flows through profit, cash flow and DSCR automatically. Manually typed numbers drift out of sync, and a mismatch between two tables is the fastest way to lose credibility.
Keep the document between 15 and 30 pages. Longer reports get skimmed. Put the executive summary and the cost of project on the first three pages, because that is what gets read.
If you are applying under a government scheme, check the model project profiles published on the KVIC PMEGP portal for your activity before you build your own numbers. They give you a sanity check on capital cost and margins for that trade.
Bring in a chartered accountant for the projections if the loan is above ₹25 lakh or the working capital assessment is complicated. For a small term loan, a well-built spreadsheet and honest assumptions are usually enough.
New Business Loan Project Report Format
For a first unit, order the pages so the reader meets the promoter before the numbers. This new business loan project report format works for most Mudra, PMEGP and MSME term loan files.

That single number tells the credit officer more than the previous fourteen pages.
Common Mistakes to Avoid in a Business Loan Project Report
- Sales projections that assume full capacity from month one
- Cost of project numbers with no supporting quotation
- Profit and loss and cash flow tables that contradict each other
- No mention of how working capital will be funded month to month
- Copying a downloaded template without changing the trade-specific figures
- Leaving out the repayment schedule entirely
- Ignoring the promoter's own contribution, or showing it as arriving later
- Writing a marketing story instead of a financial case
One more that costs applicants time: submitting the report without the annexures. A file that arrives incomplete goes to the bottom of the pile.
Get Your Business Loan Moving with My Mudra
A strong report gets you a fair hearing. It does not tell you which lender will actually fund your trade, at what rate, or under which scheme. That part usually takes weeks of branch visits.
My Mudra works as a bridge between borrowers and over 90 banks and NBFCs. You check your eligibility once, compare the offers that come back side by side, pick the lender you want, and complete the application on that lender's own platform. Our team can also point you to the scheme that fits your project size, whether that is an MSME term loan, a Mudra loan or a working capital facility.

Frequently Asked Questions
How do I create a project report for a new business loan?
Start with the cost of project, backed by supplier quotations, then decide your own contribution and the loan amount. Build three to five years of profit, cash flow and balance sheet projections in a linked spreadsheet, calculate DSCR and break-even, and write the promoter and market sections last so the narrative matches the numbers.
What should be included in a business project report for a bank loan?
An executive summary, promoter profile, product and process details, market and buyer information, cost of project, means of finance, working capital assessment, projected financials for three to five years, key ratios including DSCR, and annexures carrying quotations, registrations and KYC.
How can a project report improve the chances of business loan approval?
It gives the credit officer the repayment logic in one place. Since RBI's February 2026 amendment bars banks from taking collateral on MSE loans up to ₹20 lakh, from April 2026 the decision at that ticket size rests almost entirely on the strength of your projections and supporting documents.
How do I prepare a project report for a business loan?
Collect quotations, premises papers, licences, buyer commitments and your bank statements before you start writing. Ask your bank for its indicative document checklist, which it is required to provide when you apply. Then build the financial tables and let the written sections follow.
What documents are required to prepare a business loan project report?
Udyam Registration Certificate, promoter KYC, constitution documents such as a partnership deed or incorporation certificate, six to twelve months of bank statements, ITR and financials for existing businesses, GST returns where applicable, machinery quotations, premises proof, trade licences and your credit report.
